Useful answers. A clear route to a person.
Help visitors understand your services and submit the right details. Build an assistant around approved information, defined tasks and a visible route to your staff.
THE BUSINESS PROBLEM
Visitors often need a simple answer before they are ready to enquire. A generic chatbot can respond confidently while missing your actual services, availability or commercial terms. A useful support assistant needs maintained information, clear limits and a staff handover process.
TRY THE PROCESS
INTERACTIVE EXAMPLE · PRESET SAMPLE DATA
A visitor asks whether an office move can include phone-system reconnection. The assistant explains the approved scope, asks for location and timing and offers staff follow-up. A question about guaranteed downtime is handed to a person rather than answered with an invented commitment.
Visitor: Can you help with an office move? Assistant: We can discuss relocation planning and reconnection. What is your location and target date?
Visitor: Guarantee zero downtime. Assistant: A person must review your systems and move plan before confirming an interruption estimate. Would you like staff follow-up?
Visitor: I need to speak to someone. Assistant: I can collect your enquiry details for the team. Please do not send passwords or confidential records.
WHAT WE CAN IMPLEMENT
Explain agreed services, collect enquiry context and direct visitors to relevant pages with clear assistant identification.
Review source material, remove conflicting answers and identify who approves updates to prices, policies and availability.
Provide fallback messages, escalation conditions and a concise transcript or summary for the receiving team.
Assess supported WhatsApp Business or other channel integrations, provider requirements and messaging constraints before committing to scope.
EXPLAINED VISUALLY
DESIGN FOR EXCEPTIONS
CHOOSE THE RIGHT APPROACH
Start with the questions your team already receives. Decide which can be answered from approved sources, which need a form and which must go straight to a person. A conversational answer and an action such as changing a booking require different permissions.
DATA & RESPONSIBILITIES
Identify the business owner, information owner and administrator. Agree the accounts, permitted operations and information that may be sent to each provider. Test access with representative user roles rather than relying only on administrator results.
Data location, retention and deletion depend on the selected services and configuration. Confirm those requirements before choosing the architecture; a platform logo is not evidence of residency or compliance.
IMPLEMENTATION APPROACH
Review representative inputs, users, systems and decisions. Identify work that should remain manual and dependencies that prevent a reliable pilot.
Agree scope, permissions, acceptance examples, operating costs and responsibilities. Use redacted or appropriate test information.
Check routine, missing-data, declined-action and failure scenarios. Compare the implemented behaviour with the written scope.
Agree activation, rollback and monitoring. Provide the documented administration path and a named owner for operational exceptions.
WHAT YOU RECEIVE
The proposal specifies what will be configured, developed, documented and tested. Access to bespoke work, third-party platform ownership and administration rights are agreed before implementation.
Handover records the operating owner, support route and actions that remain manual. An attractive demonstration is not acceptance evidence for your business process.
EVIDENCE BEFORE EXPANSION
Review whether sampled answers are backed by approved information.
Check that requests reach an accountable staff queue.
Assess whether the team receives the details it needs.
Identify knowledge gaps rather than concealing them behind confident replies.
Agree the baseline, sample, start and end events before comparing results. Report failed cases and manual corrections alongside completed runs. These are proposed measures, not ITZ client performance claims.
COMMERCIAL SCOPE
A pilot quote should state included volumes, assumptions and what happens if usage increases. No fixed saving, implementation duration or universal accuracy level is promised.
AFTER ACTIVATION
Agree the alert destination and owner. Logging an error without anyone reviewing it is not an operating plan.
Changes to source fields, credentials, prompts, documents or APIs can affect outcomes. Review and test material changes before release.
Explain routine use, manual overrides and escalation. Document the tasks that remain the customer’s responsibility.
FIT & LIMITATIONS
Platform access, technical feasibility and delivery availability are confirmed during scoping. Broader migrations, data cleansing, custom applications and unsupported integrations are separately assessed.
FREQUENTLY ASKED QUESTIONS
A supported WhatsApp Business Platform integration can be assessed. Business ownership, provider setup, templates where applicable and the receiving team need to be confirmed.
The initial scope should cover defined questions and enquiry capture. Exceptions, complaints and commitments need an agreed human route; staff coverage remains a business responsibility.
Only where explicitly included, supported by the relevant system and tested with appropriate identity checks, permissions and approval requirements.
