Document intake and classification
Define supported inboxes or uploads, document types and handling for unreadable, duplicate or unsupported files.
ITZ / AI & AUTOMATION / DUBAI & UAE
Turn documents into reviewable business data.
Extract information from agreed document types, validate important fields and send uncertain results for review before data reaches your operational systems.
THE BUSINESS PROBLEM
Reading a document is only the beginning. Supplier names vary, scans can be unclear and totals may not match. An extraction project must connect recognition to validation, correction and a controlled downstream handover.
TRY THE PROCESS
INTERACTIVE EXAMPLE · PRESET SAMPLE DATA
An illustrative supplier invoice enters a controlled queue. The system extracts supplier, reference, date and totals. A missing purchase-order reference sends it for review. Approved values are submitted through the agreed integration; extraction alone does not authorise payment.
Supplier: Example Supplier Invoice: DEMO-104 Purchase order: missing Status: human review required; no ERP submission.
Reviewer adds a verified purchase-order reference → validation passes → record ready for approved submission.
ERP rejects supplier mapping → record retained with rejection reason → correction required; not marked complete.

WHAT WE CAN IMPLEMENT
Define supported inboxes or uploads, document types and handling for unreadable, duplicate or unsupported files.
Extract agreed values and apply checks such as required fields, date formats and total consistency where applicable.
Show uncertain or inconsistent results with source context so authorised staff can correct and approve them.
Map approved records to supported import or API paths, retain processing status and handle rejected submissions.
DESIGN FOR EXCEPTIONS
EVIDENCE BEFORE EXPANSION
Evaluate individual fields on an agreed held-out sample.
Count records requiring correction or approval.
Track destination rejections separately from extraction problems.
Include model, platform and human-review costs per usable record.
Agree the baseline, sample, start and end events before comparing results. Report failed cases and manual corrections alongside completed runs. These are proposed measures, not ITZ client performance claims.
WHAT YOU RECEIVE
The proposal specifies what will be configured, developed, documented and tested. Access to bespoke work, third-party platform ownership and administration rights are agreed before implementation.
Handover records the operating owner, support route and actions that remain manual. An attractive demonstration is not acceptance evidence for your business process.
CHOOSE THE RIGHT APPROACH
Choose a representative sample of document formats and agree the target fields first. Assess layout variation, scan quality and languages. OCR captures text; document processing also needs mappings, business checks and exception ownership.
DATA & RESPONSIBILITIES
Identify the business owner, information owner and administrator. Agree the accounts, permitted operations and information that may be sent to each provider. Test access with representative user roles rather than relying only on administrator results.
Data location, retention and deletion depend on the selected services and configuration. Confirm those requirements before choosing the architecture; a platform logo is not evidence of residency or compliance.
IMPLEMENTATION APPROACH
Review representative inputs, users, systems and decisions. Identify work that should remain manual and dependencies that prevent a reliable pilot.
Agree scope, permissions, acceptance examples, operating costs and responsibilities. Use redacted or appropriate test information.
Check routine, missing-data, declined-action and failure scenarios. Compare the implemented behaviour with the written scope.
Agree activation, rollback and monitoring. Provide the documented administration path and a named owner for operational exceptions.
COMMERCIAL SCOPE
A pilot quote should state included volumes, assumptions and what happens if usage increases. No fixed saving, implementation duration or universal accuracy level is promised.
FIT & LIMITATIONS
Platform access, technical feasibility and delivery availability are confirmed during scoping. Broader migrations, data cleansing, custom applications and unsupported integrations are separately assessed.
AFTER ACTIVATION
Agree the alert destination and owner. Logging an error without anyone reviewing it is not an operating plan.
Changes to source fields, credentials, prompts, documents or APIs can affect outcomes. Review and test material changes before release.
Explain routine use, manual overrides and escalation. Document the tasks that remain the customer’s responsibility.
FREQUENTLY ASKED QUESTIONS
Only if the agreed validation and approval criteria are met and a supported destination interface exists. Start with a review stage until representative results justify any further automation.
The selected platform and model must support the specific document and language requirement. Evaluate representative Arabic and bilingual samples before confirming scope or accuracy.
Retention, storage, access and deletion responsibilities are agreed for the project. They depend on the selected platform and your operational requirements.
