WHAT THIS SERVICE IS

A plain explanation of the work.

Microsoft 365 setup and migration is the work of giving your business a tenant, a domain that sends and receives mail correctly, and the collaboration tools your people will actually use — mail, calendars, Teams, OneDrive and SharePoint as agreed. It includes the administration needed to create users, apply the licences you purchased, and set the access rules you asked for. It is not an open-ended “we run your IT” service; day-to-day help after go-live is IT Support or an AMC.

Most UAE offices arrive with a mixture: mail still on a hosting control panel, a consumer Outlook.com habit, a half-created tenant from a domain registrar, or a previous partner whose delegated admin was never removed. The first job is to see what already exists so we do not create a second tenant by accident. Domain DNS is part of the project. If the domain also hosts a website, mail-record changes must not take the site offline.

Migration means moving mailboxes, and sometimes files, from the current place to the new one with a written cutover. There is always a period where someone still sends from the old system if the plan is vague. Shared mailboxes, scanners that send email, and invoice systems with an SMTP setting are part of the inventory, not afterthoughts on Monday morning.

A Microsoft 365 change, in four stages
  1. Inventory the current mail

    Provider, mailbox count, domain host, devices that send mail, and any existing Microsoft tenant.

  2. Design the cutover

    DNS changes, licence assignment, user communication, and the rollback that is actually possible.

  3. Migrate and prove mail flow

    Move agreed mailboxes, send test messages both ways, and fix the scanners and applications on the list.

  4. Hand over administration

    Named admins, documentation of records, and removal of unused partner access.

Tenant and domain setup

Create or take over the tenant, attach the domain, and set the DNS records required for mail, with SPF, DKIM and DMARC handled as agreed. Licensing is yours to purchase or assign from existing subscriptions. We do not invent a licence count. Registrar access stays with you unless you ask us to work beside your current DNS host.

Email migration

Plan mailbox moves, shared mailboxes and mail-flow checks around the current provider’s tools. Item count, calendar data and a weekend or evening window are part of the plan. A rollback is described when the old system can still receive mail. If the old provider cannot export, that limit is written down before you approve.

Identity and collaboration

Users, groups, multi-factor authentication, and the Teams, OneDrive and SharePoint libraries you asked for. Conditional access and device rules are configured only to the level in the proposal. Turning every security slider on without a recovery path locks people out on the first travel day.

Cutover and admin handover

Agree the change window, who tests mail send and receive, and how printers or applications that send mail are updated. You receive admin role assignments, a note of DNS, and the recovery mailbox or break-glass account handling you chose. Delegated partner access is listed so you can remove it.

  • Ongoing helpdesk after go-live, unless an AMC is agreed.

AFTER HANDOVER

What you should hold when the work is done.

Your organisation owns the tenant. Global administrator should sit with a person you name, not only with a supplier. Billing alerts belong to your finance contact. If files were moved, the old location’s fate — archive, read-only, or deletion after a date — is your decision, recorded in the handover.

Users will still need a place to ask questions in the first weeks. That is support, not unpaid project overrun. We can include a short hypercare window in the proposal if you want it bounded.

PLANNING THE WORK

Questions worth asking.

Will everyone keep their old email address?

If the domain moves with the tenant, yes for addresses we migrate. Personal Gmail or Outlook.com identities do not become your domain unless you plan that separately.

Can we keep the old provider as a fallback?

Sometimes, for a short period, if DNS can be arranged that way. Some hosts cut access as soon as MX records change. The inventory tells us which case you are in.

Do you include Intune or a full device-management build?

Only when the proposal names it. Basic sign-in and mail on existing laptops is a different job from managing every setting on every phone.
