A new productivity tool asks to read company mail and files. Should someone click Accept? Treat that screen as an access decision, with a business owner and a defined purpose.
For a UAE sales or accounts team, a connector can remove repetitive work. It can also obtain broader access than the task needs. Start with the business question: which information must this tool use, for whom, and for how long? ITZ’s Microsoft 365 setup and support service can help turn that question into a review of actual application grants.
Separate signing in from granting data access
A familiar Microsoft sign-in page does not make every requested permission appropriate. Read the consent details and identify the application, publisher and requested resources. Microsoft’s consent overview distinguishes permissions delegated through a user from application access that can operate without a signed-in user. Tenant-wide approval deserves particular care.
For example, a hypothetical scheduling tool may need calendar access. A request to read all company mailboxes needs a separate explanation. That mismatch is a reason to stop and investigate, not proof that the tool is malicious. Ask the supplier which feature needs each permission and whether a narrower configuration is supported.
Use a short approval brief
Before an administrator approves anything, record the intended outcome and a named internal owner. An application with no owner is difficult to reassess when the project ends or its champion leaves.
- Identify the exact application ID, supplier and official product website; do not rely on a display name alone.
- List the requested permissions and the specific workflow each supports.
- Identify the accounts, information and business teams involved.
- Ask where copied data goes, how long it is kept and how deletion is requested.
- Agree on a pilot, review date and removal procedure before expanding use.
A supplier’s security description is useful evidence, but it does not replace checking the actual consent request. Keep procurement approval, technical access approval and data-handling decisions connected. None alone answers all three questions.
Request an App Access Review to discuss a proposed connector or an existing application inventory. Share the product name and workflow, without sending tokens or confidential exports.
Review existing grants as well as new requests
Restricting future consent does not remove access already granted. Microsoft’s application-permission review guide describes inspecting Enterprise apps, selecting the application and reviewing Permissions. Check both Admin consent and User consent. An authorised administrator should capture the current state before changing it.
The portal supports revoking admin-granted permissions; the documented user-grant removal route uses supported Graph or PowerShell operations. Do not run a broad removal script copied from a forum. Identify the grant you intend to change, confirm dependencies and plan a controlled test of the affected workflow.
Keep an approval route people can actually use
Microsoft’s consent-management guidance recommends restricting user consent to selected permissions and verified publishers, with administrator review for other requests. Publisher verification is one input, not a verdict that every permission suits your business. A documented request route helps staff seek approval instead of connecting personal accounts to company work.
After a change, test both the legitimate task and the intended access boundary. Record what was checked and what remains uncertain. A successful sign-in says little about whether an overnight integration still works. Conversely, an integration working once does not prove it has only the permissions it needs.
Close access when the need ends
Review grants when a subscription is cancelled, a supplier changes or a workflow is retired. Revoking permission does not erase data the supplier already received. Suspected malicious access needs an incident response, including evidence preservation and assessment of other access routes; this routine checklist is not a complete containment procedure.
Use the employee offboarding checklist for leaver tasks and the audit-readiness guide for available investigation records. For suspicious activity, discuss business cybersecurity support.
