A folder appears in File Explorer, so you assume the documents are on the laptop. At a customer site without a usable connection, the file will not open. With OneDrive Files On-Demand, a visible filename can represent an online-only file rather than a downloaded copy.

Before travelling, agree which material must work offline and check the actual task. Downloading every company folder is rarely the best starting point: it consumes device storage and increases the amount of business information carried outside the office.

Visibility and local availability are different

Microsoft’s Files On-Demand guidance for Windows distinguishes online-only, locally available and always-available files. Online-only files need a connection to open. Choosing Always keep on this device downloads selected content and uses local storage. Free up space makes content online-only again; it is not the same action as deleting a business document.

Do not infer readiness from the existence of a folder or from having opened one file in it previously. Check the selected files’ current state and allow downloads to finish before leaving reliable connectivity.

Prepare a small business working set

Consider a proposed sales visit. The employee needs the approved presentation, a current product sheet and a quotation workbook. Identify those specific items, their authoritative location and the person who confirms they are current. Keep unrelated customer material outside the travel set.

ITZ’s Microsoft 365 administration and support service can help review the file-access arrangement. Plan an offline file readiness review with the devices, work locations and document types involved, without attaching confidential files to the enquiry.

Run the test before the journey

  1. Confirm the correct work account and approved laptop. Avoid preparing company files under a personal account.
  2. Check local capacity, select the required material and mark it to remain on the device using the supported OneDrive controls.
  3. Wait for the selected downloads and resolve reported sync errors. Preserve unsynchronised work before attempting repairs.
  4. Disconnect the test laptop from connectivity in an agreed, reversible way and open each essential file.
  5. Perform the required task: read a slide deck, use the workbook and inspect linked resources. Reconnect afterwards and check that any authorised edits synchronise.

Microsoft’s synced-file guidance explains how local file status relates to cloud storage. A download check is one part of the exercise; the business acceptance test should cover the result the employee needs.

Check dependencies beyond the document

A workbook can open but still rely on an online data source. A presentation can reference a video that was never downloaded. An application may require sign-in or an active service connection. List these dependencies and agree a supported offline alternative where available; do not promise that retaining the file makes every feature work offline.

If files are pending or conflicting, use the OneDrive sync troubleshooting guide before departure. If external collaborators need access, the SharePoint sharing checklist covers that separate permissions decision. Local availability does not grant anyone new rights.

Review the device after the trip

Confirm that edits reached the intended cloud location before removing local availability. Follow company retention and device policies; do not use deletion as a space-saving shortcut. If a laptop goes missing, follow the lost business laptop response guide and tell support what information was stored locally.

This is an offline-readiness process, not a backup plan. A synchronised edit or deletion can affect shared work, so keep backup and recovery arrangements separately reviewed.
