Your team already uses multi-factor authentication. That is a useful protection, but approving a phone notification or entering a code is not the same as using a phishing-resistant sign-in method.

The practical next step is a controlled pilot, rather than a company-wide policy switched on before anyone can satisfy it. For a UAE business using Microsoft 365, ITZ’s business cybersecurity service can help review sign-in exposure, supported methods and a rollout plan. Start with a defined group and a business reason, such as protecting administrator or finance access.

Know what protection you are choosing

A phishing-resistant method binds authentication to the intended service in ways that a manually entered one-time code does not. Microsoft’s authentication overview recommends methods including Windows Hello for Business, passkeys and FIDO2 security keys, and certificate-based authentication. These methods differ in device requirements, deployment effort and recovery arrangements. “Passwordless” alone is not a sufficient purchasing specification.

Neither a security key nor a passkey fixes every threat. An already compromised device, a stolen session or excessive application permissions still needs separate controls. Keep existing protection active while preparing the pilot. Do not remove MFA because a stronger method is not ready yet.

Check entitlement and compatibility first

Microsoft Entra authentication strengths let Conditional Access specify acceptable authentication methods. The official authentication-strength guidance describes the built-in phishing-resistant strength and identifies Entra ID P1 as a prerequisite for Conditional Access. Verify the affected users’ actual entitlement, enabled methods and supported combinations before designing enforcement. A Microsoft 365 email subscription does not, by itself, establish which identity features you have.

Prepare an inventory of operating systems, browsers, managed and shared devices, remote-access journeys and essential applications. A user who signs in successfully on a main laptop may still need a supported route from a second work device. Ask how a replacement key or phone will be registered and how an employee travelling without the original device can recover access safely.

Choose a pilot that reveals real constraints

Include a small, named group with different working patterns and an available support contact. For example, an administrator, an office-based accounts employee and a travelling manager can expose different problems. This is an illustrative pilot design, not evidence from an ITZ deployment. Agree on the applications and tasks to test, rather than judging success by registration totals.

  • Confirm each pilot user can register an approved method through a trusted, documented process.
  • Record the supported primary and recovery routes without storing credentials in the rollout spreadsheet.
  • Check whether spare hardware, management policies or staff training require procurement.
  • Set the policy owner, review date, support route and conditions for pausing expansion.

Microsoft’s phishing-resistant deployment guide provides planning considerations across user groups and device environments. Use it to confirm supported choices for your estate; a method available in one environment may not fit another.

Distinguish a registered method from an enforced policy

Enabling a method, registering it and requiring it are different steps. A user can register a key while other permitted sign-in routes remain available. Review the authentication methods policy alongside Conditional Access scope and exclusions. Overlapping policies can change the effective result, so document the intended outcome for each test account.

Use Conditional Access report-only evaluation to inspect likely policy effects before enforcement. It does not enforce the new requirement or prove that a user can complete every real task with the chosen method. Review sign-in results, then conduct an approved, enforced pilot with genuine fresh sign-ins and essential workflows. Record blocked journeys and their cause before widening scope.

Prepare for a lost key without creating an easy bypass

A helpdesk recovery process should verify identity independently and record who approved the action. A caller knowing an employee’s name and job title is not enough. Define how a replacement method is issued, how the old registration is removed and how suspicious loss is escalated. Avoid permanent broad exclusions created simply to make one difficult user work again.

Protect and test an independent administrative recovery route before enforcing restrictive policies. The emergency-access planning guide covers this separate lockout risk. A daily work account should not double as an unmonitored emergency account.

Expand when the evidence supports it

A useful pilot record lists users tested, applications accessed, support issues, recovery checks and unresolved exceptions. Expand in agreed groups when those issues have owners and workable solutions. Keep a controlled rollback plan; do not turn off all tenant protection to reverse one policy mistake.

For operational changes, discuss Microsoft 365 administration and support. For laptop preparation and supported device policies, discuss device management and onboarding. The aim is a repeatable sign-in and recovery process, not a claim that phishing or account compromise has become impossible.
